Reconcile before contacting
Check the original charge, adjustments, allocations and payments. A reported balance may reflect an unposted or misallocated transaction. Verify the amount and responsible party before asking a patient or insurer for payment, and retain a record of corrections.
Choose useful work queues
Separate claims needing information from unanswered claims, patient statement questions and unapplied receipts. Give each item an owner and next review date. Age alone does not explain the cause of a balance or identify the right follow-up.
Use consistent dates
Ask whether aging uses the service date, charge date, statement date or another basis. Document how credits and later adjustments affect the report. Compare periods only after the definitions are aligned, and have the financial team approve control totals.
Review unresolved exceptions
Track amounts resolved and reasons for remaining balances rather than simply counting contacts. Apply the practice’s approved communication and collection policies. DentalSoftware.online does not yet include a ledger, claims queue or accounts-receivable reporting in its private prototype.
