A useful dental software demo shows how the team completes work and recovers when something changes. Bring a short script, fictional examples and a place to record evidence. These seven questions are a starting point for the discussion.

  2. Demonstrate normal tasks and exceptions.

Ask the presenter to work through a change

Start with a normal appointment, then make the scenario less convenient: the provider becomes unavailable or reception changes the duration. Ask the presenter to demonstrate the recovery rather than simply explain it. Note whether the product prevents a conflict, warns the user or leaves the decision entirely to staff.

Follow the record across teams

A smooth calendar does not prove that documentation, financial and communication workflows are complete. Ask where the information goes next and which team sees it. Record every point where someone must copy information into another tool or reconcile conflicting versions.

Finish with written evidence

After the demonstration, send the requirement list back to the vendor for confirmation of the exact scope. Keep availability, integrations, migration, support and price in separate columns. Use the same questions with every shortlisted supplier, and revisit any essential workflow that was not actually shown.

Practical checklist

  • What happens when two staff members choose the same slot?
  • How does interrupted or unsaved work recover?
  • Can we retrieve the earlier version of a corrected record?
  • Which steps require another supplier or separate fee?
  • What evidence will validate our migrated records?
  • What remains accessible when a contract ends?
  • Which demonstrated capabilities are included in the written proposal?
