Dental Case Acceptance: Clearer Follow-Up

Improve the clarity of treatment discussions, estimate versions and administrative follow-up while preserving informed patient choice.

At a glance

Case-acceptance work should help patients understand a clinician’s recommendation and resolve their questions. Software can organize versions, estimates and follow-up; it should not pressure a decision or substitute an administrative metric for clinical judgment.

Make information understandable

Ask the clinical team how findings, options, timing and uncertainty are explained. Check that the written material matches the discussion and can be accessed in a suitable format. A patient’s questions and decision should remain distinct from an automated sales status.

Keep estimate versions

Separate the recommendation from financial estimates and coverage assumptions. If an estimate changes, retain the earlier version and explain the reason. Staff should be able to identify what was presented, when it was presented and what remains unconfirmed.

Follow the agreed next step

Record unanswered questions and the patient’s preferred way to be contacted. Assign follow-up to the appropriate team and avoid repeated generic messages after a decision has been made. Respect the practice’s consent and communication requirements.

Interpret reporting carefully

Define what accepted, deferred and declined mean before calculating a rate. A percentage can be affected by case mix, timing and incomplete records. Our prototype does not yet provide clinical treatment plans or case-acceptance analytics.
