Cloud and locally hosted dental software distribute technical responsibilities differently. Neither delivery model proves that a product fits your practice. Compare the actual implementation, support arrangements and dependencies rather than choosing from the hosting label alone.

Map responsibility for each component

Identify who maintains the application, database, attachments, imaging tools and local devices. A cloud service may still need workstation software or an imaging bridge. A local server may depend on online claims, payments or remote services. Write down the support owner for every dependency.

Test the interruption that matters

Ask what happens during an Internet outage, local workstation failure and service interruption. Determine which tasks remain available and how staff know whether work was saved. Obtain the recovery process and an explanation of how the practice reconciles work after service returns.

Compare complete costs

Include subscriptions or licenses, hardware, backup services, IT support, updates, training and exit costs. Use the same required workflows and time horizon. Do not treat one capital purchase or one advertised monthly figure as the complete financial comparison.

Evaluate portability and control

Request examples of exported records, attachments and audit information. Confirm which licenses or tools are needed to read them after termination. Separate the ability to download a file from the ability to reconstruct a usable patient history.
